Schools are busy places. As with any technology, the main purpose of any communication system is to improve the efficiency of the people who use it. Our telecoms systems have been designed to improve inbound call handling by integrating with your school database, including SIMS and PASS.
Front line staff will be able to see instantly the nature of the inbound call because the school phone system can be integrated with SIMS/PASS database to support features such as screen popping. The system recognises who is calling and uses this information to search through your database to find the matching record card. The system then screen-pops the contact details before the caller has been answered.
There are many benefits to telecom integration with your school database:
In multi-cultural England, many pupils have parents where English is not their first language and so the call handling time by front line staff is vastly reduced because you have all their details to hand on the screen in front of you. When a match is found in the school data, the system recognises the phone number, will show the name(s) of the pupils associated with the call in a small “pop-up” window in the bottom right-hand corner of your computer screen.
Clicking on the SIMS/PASS icon in the Caller Preview window will automatically open the caller’s SIMS/PASS contact record, avoiding the need to type in name, address, postcode etc. to retrieve their school database record.
The user can view the call history so you can see all the calls you have made, answered and missed. Therefore, the school can see if a parent has attempted to call in and the user can pop the record card from the call history before they return the call.
By having the pupil records open in front of you when you answer the call, you can enter details straight away whilst on the call, which is easier than trying to remember them after the call has ended. The call will be quicker, which is essential at peak call times.
